Switching aesthetic clinic software is a series of steps, and we run them with you.

The biggest reason practitioners stay on software they dislike is the fear of losing patient records in the move. So we do not hand you an import button and wish you luck: we manage the migration, chase down what your current system tries to keep, and nothing goes live until you have confirmed it is all there. Here is exactly how it works, system by system, before you spend a penny.

    We map what your current system will give up

    Most systems export patients and services as CSV, but few hand over everything, and some make consent history and photos deliberately hard to get out. Tell us what you are on and we will tell you exactly what is recoverable, and how we will recover the rest, before you commit to anything.

    We run the migration with you

    This is not a DIY import. We manage the move: patients, services, your diary structure and consent templates, and where your old system withholds data we go and get it through an assisted, authenticated migration with your permission. You check everything with us on a call, nothing goes live until you have confirmed the records look right, and any working copies of your data are deleted once you confirm the move.

    Go live without missing a booking

    Your existing appointments carry across, so the diary is never dark. Switch the booking link on your website and socials, send your first digital form, and archive the old system. We stay on hand during your first week of appointments.

From Aesthetidocs

Patients and waitlists export as CSV from the admin. Consent documents and photos have no bulk export, so we recover them through an assisted, authenticated migration with your permission and your login. We have built and tested this assisted migration path with a working clinic.

From Faces

Client lists export from the app. Signed consent forms can be downloaded individually; we help you prioritise which history to bring across, and your new forms are versioned and exportable from day one.

From Aesthetic Nurse Software

Client and appointment data export as CSV. Form templates need rebuilding; we seed our treatment-specific templates and adjust them to match your existing wording.

From Pabau

Client and appointment data export as CSV from the reporting area. Bulk export of documents and photos is less predictable, so we map exactly what your account will give up before you commit, and recover the rest through an assisted migration with your permission.

From paper or spreadsheets

Often the fastest switch of all. We import your client list from a spreadsheet, you photograph outstanding paper consents into the patient records, and new consents are digital from the first appointment.

Whichever system you come from, your records land in the same shape at the other end: versioned consent, treatment lines with batch numbers, consented photos and an audit trail, structured against the licensing-ready records checklist we built around what England's 2026 licensing scheme is expected to require. A migration is a good moment to tidy the rest of the file too, including whether voluntary registration on the JCCP register is worth it for your practice.

The real cost of "free".

The cheapest headline is rarely the cheapest bill. "Free" software taxes your deposits and prescriptions; marketplaces take a cut of new clients; feature-deep tools quote you on a call. Put your own numbers in and see the estimated annual cost on each platform against a flat £25 per practitioner, every figure sourced and dated.

Software subscription plus each platform's own added commissions, at the numbers you entered. Card processing on patient payments is left out for every platform: you pay your card processor's standard rate whichever software you run, so it is not a platform fee. AesthetiClinic is shown ex-VAT (+ VAT); competitor figures are quoted as each platform publishes them.

Estimates assume an average prescription fee of £15 and an average first-visit value of £120, used only to turn your monthly counts into pounds. Faces commissions are auto-deducted weekly; the 20p-per-deposit Faces handling fee and Pabau's demo-gated team pricing are noted rather than guessed at, so real Faces and Pabau bills tend to run higher than shown, not lower.
